How to Set Up Your FREE Business Email with Cloudflare & Gmail

Here is the step-by-step guide we follow in the video. Follow along to create your own professional email address without paying for Google Workspace or other hosting fees!

Part 1: Receiving Emails (The Easy Part)

STEP 1: Get Your Custom Domain Name 🌎
Before we start, you need to own a domain name (e.g., yourbusiness.com). If you don’t have one, you can purchase one from registrars like GoDaddy, Namecheap, or Google Domains.

STEP 2: Connect Your Domain to Cloudflare (for FREE) ☁️
Cloudflare is the powerful free tool that will handle our email forwarding.

  • Sign up for a free Cloudflare account.
  • Click “Add Site” and enter your domain name.
  • Select the $0 Free Plan when prompted.
  • Cloudflare will give you two new nameservers. Copy these.
  • Go back to your domain registrar (where you bought your domain) and find the DNS or nameserver settings. Replace your existing nameservers with the two you just copied from Cloudflare.
  • Wait a few minutes for Cloudflare to confirm the connection.

STEP 3: Activate Cloudflare Email Routing 📧
This is where the magic happens! We’ll tell Cloudflare to catch all your business emails and forward them to your personal inbox.

  • In your Cloudflare dashboard, go to the Email menu and select Email Routing.
  • For the Destination Address, enter your personal Gmail address (e.g., my.personal.email@gmail.com).
  • Check your Gmail inbox for a verification email from Cloudflare and click the link to prove you own it.
  • Under Custom Addresses, create the professional emails you want, like support@yourbusiness.com or info@yourbusiness.com, and route them to your verified Gmail.
  • (Recommended): Turn on the Catch-all feature. This ensures that any email sent to any address at your domain will be forwarded to you, so you never miss a message.

STEP 4: Test It! ▶️
From a separate email account, send a test message to support@yourbusiness.com. It should appear in your Gmail inbox almost instantly! You can now officially receive professional emails for free.

Part 2: Sending Emails (The Pro Step)

Now, let’s set up Gmail so you can send and reply professionally from your custom domain address.

STEP 5: Configure Gmail’s “Send Mail As” Feature ⚙️

  • In Gmail, go to Settings (the gear icon ⚙️) > See all settings > Accounts and Import.
  • Find the “Send mail as” section and click “Add another email address.”
  • A pop-up window will appear. Enter your name and your new custom email address (support@yourbusiness.com).
  • On the next screen, use the following server settings:
    • SMTP Server: smtp.gmail.com
    • Username: Your full Gmail address (my.personal.email@gmail.com)
    • Password: You cannot use your regular Gmail password here. You must generate a Google App Password.
  • To get an App Password: Go to your Google Account settings, enable 2-Step Verification if it’s not already, and search for “App Passwords.” Create a new password for the “Mail” app and copy the 16-digit code.
  • Paste this 16-digit App Password into the Gmail setup window.
  • Gmail will send a final verification email to your custom address (which will arrive in your Gmail inbox). Click the link or enter the code to complete the setup.
